Contact Migration Template

Make your contact import process easier with ArtCloud's Contact Migration Template

This helpful article covers the process of uploading Contacts into ArtCloud in bulk. It also covers where to download ArtCloud's Contact Import Template.The Contact Import Template can be opened by any spreadsheet software that can open .CSV (Comma Separated Values) files, such as Microsoft ExcelGoogle Sheets(free), Numbers(by Apple), or Libre Office Calc.

NOTE: Your first migrations into ArtCloud should occur in the following order: Inventory -> Contacts -> Invoices.

The template works based on column names. Every row is a Contact Record, and the intersecting columns are what field that cell will be populating. For example:

The first contact's first name is Mr. Stan Lee. His email is stan@marvel.com, and he is not subscribed to receive email Campaigns. The second contact's name is Ms. Barbara Streisand. Her email is bstreisand@gmail.com, and she is subscribed to receive email Campaigns.

NOTE: Fields can be left empty with no consequence. Keep in mind that adding information to existing Contact records after an import may result in a fee. It is particularly important that addresses are split into their proper fields, as it can affect the way that addresses are displayed on InvoicesShipping Labels, etc.

A salutation Text Ms., Mr., Mrs., etc.
B firstname Text Contact's first name.
C lastname Text Contact's last name.
D spouse_first_name Text The first name of your contact's spouse.
E spouse_last_name Text The last name of your contact's spouse.
F email Text Contact's email.
G is_subscribed Yes/No, y/n, True/False Indicates whether or not contact is subscribed to email marketing campaigns. This field defaults to "Yes" if left empty.
H addressline1 Text NOTE: This field is not meant for the contact's full address. Enter the address number and street/road/highway/etc. only.
I addressline2 Text NOTE: This field is not meant for the contact's full address. Enter the address number and street/road/highway/etc. only.
J city Text Contact's city of residence.
K state Text Contact's state, province, etc. of residence.
L zip Number Contact's preferred zip code. Must be a numeric value.
M country Text Contact's country of residence.
N shipping_addressline1 Text NOTE: This field is not meant for the contact's full shipping address. Enter the shipping address number and street/road/highway/etc. only.
O shipping_addressline2 Text NOTE: This field is not meant for the contact's full shipping address. Enter the shipping address number and street/road/highway/etc. only.
P shipping_city Text Contact's preferred shipping city.
Q shipping_state Text Contact's preferred shipping state.
R shipping_zip Number Contact's preferred shipping zip code. Must be a numeric value.
S shipping_country Text Contact's preferred shipping country.
T phone_home Number Contact's home number. Must be a numeric value.
U phone_mobile Number Contact's mobile number. Must be a numeric value.
V phone_other Number Contact's "other" number. Must be a numeric value.
W notes Text Any notes that do not fit in other fields.
X company Text Contact's company name
Y website Text Contact's website
Z tags Text, separated by commas Terms that can be used to sort contacts by.
AA artist_interests Text, separated by commas Artists that a contact has shown interest in.
AB interests Text, separated by commas Subject matter that a contact has shown interest in.
AC origin Text Where/How first-contact was made with a contact.
AD staff_email Text Email to reach contact's staff.
AE created MM/DD/YYYY The date this contact was created.
AF import_key Text A unique string of text and/or that helps match columns to records. For internal purposes only, does not appear directly on contact records.
