It's no secret that email can be a tricky subject. Our team gets plenty of questions about how email is functioning, how it works in ArtCloud, and the most famous of inquiries, "Why isn't my customer getting my emails?". Let's address what email integration in ArtCloud is as well as why it's important.

What is email integration?

Email integration is the action of providing the ArtCloud platform permission to employ your email address on your ArtCloud account when sending email messages from your ArtCloud account.

On default, ArtCloud does not have permission to use or employ your email address, when you're sending out messages from the ArtCloud platform. Integrating your email is providing explicit permission to the ArtCloud platform to use your email address to send out these messages.

Why is integrating my email on my account important?

As mentioned in the introduction, email is a tricky subject. Each email provider or client (Google, Office 365, Yahoo!, Hotmail, etc...) has different standards, filters, and parameters for sending and accepting email messages. This also includes your customer's email client! 

When ArtCloud is provided permission to use your email address, we're able to use your email provider (Google or Office 365) to send out messages from your ArtCloud account on your behalf as well as use your specific email address to send these messages. Your messages will have a much higher deliverability rate in being seen and accepted by your customer's email clients.

While integration isn't a foolproof solution to the email spam/junk folder burden businesses daily encounter when communicating online with their customers, it does significantly increase the success rate of delivering your email messages to your customers.

Do I need to integrate my email on my ArtCloud account? Will I still be able to send messages from ArtCloud if I do not?

No, you certainly don't need to integrate your email in ArtCloud. You will still be able to send messages from the ArtCloud platform.

However, when your email is not integrated, ArtCloud sends messages out from your account using an ArtCloud email alias. Here's an example of how this looks: artcloud-52a9d3-07eb-422c-8922-f140ae3dfb0@email.artcld.com

It's a long and clunky email address that gets used on your behalf since we don't have permission to use your actual email address. This email alias does deliver email messages, but depending on your customer's individual email clients and the filters enabled to protect their inboxes, this email alias may be blocked or messages sent with this email alias may automatically get routed to spam or junk folders.

Our team strongly encourages integrating your email on your ArtCloud account to ensure better message deliverability rate.

Is ArtCloud becoming my email host? Should I send all my emails through ArtCloud now?

No, ArtCloud is not an email host nor do we have email hosting capabilities. ArtCloud is an inventory and contact management platform that has email messaging functions/tools in the platform that you can use to increase communication and sales opportunities with your customers.

You will need to have your email hosted with Google or Office 365 in order to integrate your email address into your ArtCloud account.

With integrating your email, ArtCloud does not populate all email communications from your email host into your ArtCloud account. Your email provider is completely separate from your ArtCloud account. ArtCloud will not see or record any email communications originating outside of the ArtCloud platform.

If I integrate my email in ArtCloud, will I see my messages from ArtCloud in my email client?

Yes! When message threads originate in your ArtCloud account, you will see these threads populate in your email client. If you and / or your customer respond within this same email thread (which is what our team recommends), you will see this thread recorded in your ArtCloud account. This will allow you to keep a history of the communications with your customer stored in your ArtCloud account.

If I integrate my email in ArtCloud, is my email data safe? What data are you all collecting or seeing?

Yes, your data is safe! ArtCloud does not see or use any private customer data related to your email provider. We do not gather any customer data for internal use or for external sharing with third party agencies.

How can I integrate my email on my ArtCloud account?

You can integrate your email on your ArtCloud account through the Profile tab in Account Settings. This field will be below the Email Signature field. You can learn more here.
