Inventory Status Dots

What do they indicate & how to use them

When looking at your Inventory, you may notice different color dots on some of the artwork. These status indicators provide essential information about the artwork's current status:

- a red dot signifies that the inventory item is on an invoice

- a blue dot indicates that the inventory item is on an Offer

- a yellow dot shows that the inventory item is on hold for a specific contact

- a black dot represents that the inventory item is Inactive, and is most frequently associated with works that have been RTA (returned to the Artist)

You have the ability to hover over each status dot to see more specifics about that artwork's status. 

Red dot status indicator

Red dots on an inventory item indicate the item is on an Invoice. It doesn't matter if the invoice is open or closed, as soon as the item is placed on the invoice, the record will get marked with a red dot.

If you hover over the red dot while looking at the item in Inventory, you will see the invoice the artwork is on. You can click on the invoice link to look at the invoice details.

Blue dot status indicator

A blue dot on inventory items indicate that the item is on an Offer. Offers are created through Opportunities when you want to share an artwork with a client. When you hover over the blue dot on the artwork, you will see the Offers associated with the artwork.

Yellow dot status indicator

Yellow dots on inventory indicate if an item is On Hold for a particular Contact. When you hover over the yellow status indicator dot, you'll see the Contact the artwork is On Hold for. If you click on the Contact name, it will take you to the Contact Record. You will be able to see the artwork on hold for the Contact under the Activities tab.

Black dot status indicator

Black dots represent that the inventory item has a status of Inactive. They're most frequently seen when works are RTA or returned back to the Artist. However, any time an item is marked Inactive (but not on an invoice), this item would gain a black dot. This status indicator is the only that doesn't have a hovering behavior associated, however, these can be searched upon using the Inactive Status dropdown filter on Inventory.
